Hampshire Fare is looking for an enthusiastic individual to provide maternity cover for the role of Office Administrator. 

Position:  Office Administrator

Reporting to Commercial Manager Based at Rownhams House Office, Romsey, SO16 8LS

Hours of work:  37 hours per week fixed term contract maternity leave cover. 

Salary: £21,000 per annum

Leave entitlement:   20 days per annum. Lieu time given for out of office hours work.

Responsible for: Special Project administration: The Local Produce Guide/Hampshire Food Festival Guide.

Dealing with all communications to Hampshire Fare and day to day calls from members.
Co-ordinating, developing and maintaining office systems and databases.

Processing membership renewals, accounts.

Providing a secretarial function to the office.

Updating the website and enhancing the website listings for events and members.

Assisting with the general organisation of event activity such as creating forms, printing name badges, taking bookings- such as network meetings.

Representing the company at key events when needed including set up and knock down where necessary. This may include occasional weekend and evening events.

Working conditions:

Regular use of IT equipment, lifting and movement of marketing and display material for events, occasional evening and weekend working.

Person specification:

Must be highly computer literate and capable of delivering high quality and sometimes complex documents.

Must be highly efficient with the ability to work on own initiative.

Must have excellent communication skills both verbal and written and be able to liaise confidently and sensitively with a wide range of contacts.

Must have excellent attention to detail.

Must be willing to adapt the role and take on additional responsibilities where necessary.

Needs to be physically fit for lifting when needed at the office or events.

Min 5 years’ relevant experience in the application of administrative systems and procedures with the ability to use advanced functions of MS office programmes. Knowledge of page design and publishing would be advantageous although not critical. Good knowledge of Excel is essential.

Qualifications, education & training:

It is essential that the candidate is educated to GCSE level or equivalent including English at Grade ‘C’ or above.

Evidence of continuing professional development and education. E.g. HNC, ‘A’ Levels, marketing or similar qualification is desirable.

Clean driving licence and own car is desirable.
